What’s the Opportunity?

The Payroll and Accounting Specialist is responsible for assisting in the completion of accounting reconciliations and activities that lead to accurate and timely processing payroll and benefits for the Seattle Foundation and its fiscal sponsorships and supporting organizations.

  •  Manage and prepare payroll, including tax filing and reporting for Seattle Foundation (SeaFdn), its Supporting Organizations, and Fiscal Sponsorships.
  • Manage enrollment and administration of benefit plans.
  • Reconcile balance sheet and income accounts.
  • Substantiates financial transactions by auditing documents.
  • Maintains accounting controls.
  • Reconciles financial discrepancies by collecting and analyzing account information.
  • Prepare reports for annual audits and tax preparation.
  • Prepare labor reports, attendance summaries, and other payroll reports.
  • Prepare annual 403(b) reporting, and Workers Comp Audits
  • Maintains confidence and protects operations by keeping human resource information confidential.
  • Contributes to team effort by accomplishing related results as needed.
  • Provides back-up support for Accounts Payable processing which may include:
    • Process or provide support in the processing of accounts payable, grants, tax, insurance, gifts and earnings for SeaFd and SeaFdn supporting organizations, etc.
    • Process monthly online credit card program.
    • Reconcile vendor statements and invoices.
    • Reconcile accounts payable to the general ledger.
    • Provide support for budget and forecasting activities.
    • Assist in the preparation of Accounts Payable schedules for annual audit and 990.
    • Maintain Independent Contractor agreements and manage Form 1099 reporting.
    • Research and resolve outstanding check issues.
  • Other duties as assigned.

What Are We Looking For?

Minimum Qualifications:

  • Bachelor Degree, Associate degree in accounting or equivalent experience
  • 3-5 years experience in payroll processing
  • Previous Payroll Solutions, Financial Edge or other Not-For-Profit software experience preferred

Knowledge, Skills and Ability:

  • Goal-oriented pro-active self-starter with ability to work independently and approach challenges with a high degree of adaptability and creativity
  • Detailed-oriented with ability to analyze, review & verify accuracy of data, notice and research outliers
  • Good communication and presentation skills, with the ability to present complex ideas, financials, and processes clearly and in an engaging and audience-relevant manner.
  • Good response skills with the ability to enjoy being in a support department responding willingly to internal and external clients.
  • Good writing skills, with the ability to document workflows and step-by-step procedures.
  • Problem-solver with an ability to identify bottlenecks/areas of improvement along with an ability to implement solutions while maintaining a robust internal control environment
  • Knowledge of accepted accounting and auditing practices and principles
  • Ability to prepare clear and accurate reports for information, auditing and management use
  • Excellent interpersonal skills and personal maturity; comfort and facility with effective collaboration; demonstrated ability to engage and influence a wide range of stakeholders
  • Unwavering personal and professional integrity with ability to work with highly confidential information
  • Comfort with various accounting software technologies, especially MSFT Office products
  • Capacity and attitude to serve; ability to occasionally work outside of core business hours
